LodgePMS ("we", "us") is the data controller for personal data collected through lodgepms.com and our software. Contact us at [email protected] for any data-related requests.
2. Data We Collect
Contact & Purchase Data: When you purchase our software or request a demo, we collect your name, email address, hotel name, and phone number.
Usage Telemetry: Our software may send anonymous usage data including software version, operating system, and error logs to help us improve stability. Hotel guest data stays on your local machine — we never access it.
Cookies & Analytics: We use cookies to remember your preferences (language setting, cookie consent). We may use analytics tools (e.g., Plausible) to understand site traffic — these are privacy-friendly and do not track individuals.
Demo Requests: Name, hotel name, phone number, and email submitted via the demo form.
3. How We Use Your Data
• To deliver the software license and activation key after purchase
• To send important product updates and security notices
• To respond to support requests
• To improve software stability via error logs
• To analyse website traffic (aggregate, anonymous)
4. Legal Basis (PDPA)
We process your data based on: Contract (to deliver what you purchased), Legitimate Interest (improving software quality), and Consent (marketing communications, cookies). You may withdraw consent at any time.
5. Data Sharing
We do not sell or share your personal data with third parties except: payment processors (Stripe) for purchase transactions, email providers for transactional emails, and when required by Thai law.
6. Data Retention
Purchase records are kept for 7 years as required by Thai accounting law. Demo request data is kept for 2 years. Error logs are kept for 90 days. You may request deletion at any time.
7. Your Rights Under PDPA
As a data subject under Thailand's Personal Data Protection Act B.E. 2562, you have the right to:
• Access — request a copy of your data
• Rectification — correct inaccurate data
• Erasure — request deletion of your data
• Portability — receive your data in a portable format
• Objection — object to processing based on legitimate interest
• Restriction — request restricted processing

8. Security
We use industry-standard security measures including HTTPS encryption, secure API authentication, and regular security reviews. Hotel guest data stored in our software never leaves your local machine.
9. Cookies
We use: Essential cookies (language preference, cookie consent — required for the site to function). Optional analytics cookies are only set after your consent. You can withdraw consent by clearing your browser cookies.
10. Changes to This Policy
We may update this policy. We will notify active customers by email for material changes. Continued use of the software after the effective date constitutes acceptance.
